Name a company approver before the mailing is prepared. Have them check the actual proof, company name, contact details and approved safety text. Record the version and approval date. This is a suggested quality check, not a federal proof-approval rule. A qualified person still needs to review the warning content.

Review the piece that will be printed
Check the letter, brochure and envelope together. Use the actual proof, not a draft copied into an email. Do the contact details match the company and branch shown? Have qualified reviewers settle safety wording before the company approver releases the proof.
Separate copy approval from list approval
A correct brochure can still go to the wrong list. As an office practice, name who approves the print version. Name who approves the list. Record both choices. Approval of artwork does not approve which accounts get the mailing.
Resolve changes before release
Keep a clear record of fixes. State which version replaces the old proof. Before you order, ask the provider how to approve the proof. Ask when changes are due. The service page covers the brochure, letter, list and mailing record. Proof review alone does not settle every warning duty.

Questions and answers
Can the approver change safety wording alone?
Use your qualified review process for safety text. The approver should confirm the cleared version. Do not add new safety steps without review.
Does a signed proof prove the notice was mailed?
No. Keep the proof approval separate from the mailing list and dated proof of mailing.
Prepare for your review
Name your company approver and note which proof version needs review. Confirm the approval process before ordering.
Review Duty to Warn scope and request options
General information, not legal advice. Check which rules apply with your regulator and a qualified safety or legal reviewer. You still need training and instructions for your equipment.
