What files should I gather for an audit or insurance renewal?
Start with the files below. Ask your reviewer which ones they want, for which dates and sites. This list helps you sort your files. It does not mean you have passed a review or met every rule.
- Your current written policies and procedures.
- Your DOT hazmat security plan, if it applies to your work, and its review records.
- Staff training records, with names, dates and topics.
- Your written hazard communication program and current safety data sheets.
- Tank inspection, leak-check and service records.
- Cylinder test records, if you do that work.
- Driver files and truck inspection and repair records, if you have drivers or trucks.
- Your emergency plan and current contact list.
- Your Duty to Warn notice, list, dates and mailing proof, if you send that notice.
- The reviewer's request and a list of missing files, who will find each one, and when.
Keep completed records in your own files. A blank manual does not show that work was done. For more detail, see what an auditor asks for.
