Check the address style before you make labels

USPS format is RR and the route number, then BOX and the box number. Do not use RURAL, NUMBER, NO. or the pound sign. USPS: rural route format

Old records may use RFD or RD for rural delivery. USPS says to change those to RR. USPS: RFD and RD Check what the field means before you replace it across your file.

A hyphen belongs in the box number only when it is part of the address in the USPS ZIP+4 file. USPS: rural box hyphens Do not strip every hyphen during cleanup.

USPS says the rural route line should carry no town or street names. Mixing address styles can make matching harder. If you use secondary name information, it goes above that line. USPS: additional designations

Review old route records as a group

We suggest pulling the rural route rows out before you release the list. Ask the customer, or the Post Office, to help settle any address that looks unclear. Keep the confirmed postal address apart from the landmarks your driver uses.

If a street-style address has replaced an old route address, verify the new one. Do not build an address by joining parts of two records.

Will the mailing service fix rural addresses for us?

Ask before you hand over the file. Get the quote to say whether address review is included and who approves changes. Until a different scope is agreed, treat the verified list as your office's job.
