What belongs in a new propane customer safety packet?

A new propane customer safety packet brings together the reviewed warning brochure, company contact information and the version used for that account. Include the packet in the service-start checklist under your reviewed warning plan. Record the handoff date and method honestly. Keep packet notes separate from inspection results, and do not mark a warning as read simply because a brochure was left at the address.

See what goes in a propane Duty to Warn letter and keep the Duty to Warn mailing calendar separate from the new-account handoff.

Prepare the packet before the truck leaves

As a suggested setup, keep the warning brochure, company contact sheet and version name together. Ask the account lead how the packet will reach the people using the gas.

NFPA's public safety message is direct: leave the area if you smell gas or suspect a leak. Put that message where the reader can find it fast.

Record the handoff honestly

Write down the date, safety-piece version and person who made the handoff note. If it was mailed, keep the mailing record instead. Do not mark “read” based only on a brochure left at the site.

Send open questions back to the office

Give staff a place to log a wrong contact, unclear address or language request. Give each item to the account lead before closing the setup task.

Questions and answers

Should the packet wait for the annual mailing?

No. Give it at setup. Confirm that timing in your reviewed warning plan.

Does the welcome packet replace a field check?

Keep the tasks separate in your procedure. A packet entry should describe the packet, not stand in for a check result.

Who approves the safety wording?

Have your designated reviewer approve the actual piece and its version before staff use it.

What goes in the account note?

We suggest the handoff date, the copy version, the method and the name of the staff member recording it.
